DAY OF COORDINATION

Like any relationship, it's nice to go on a date first before any sort of commitment! I am a big advocate that not every vendor is the perfect fit for you, so let's chat and get to know each other to make sure my services are the right fit for your big day! We do spend a lot of time together, after all!

At this "get-to-know-you" meeting I want to hear all about your plans, see your vision board, and see what areas I can help add value to your wedding. You will have the choice between working with me directly or an associate for your big day!

BEFORE YOU BOOK.

Once you are ready to lock in my services, I will send you a contract and invoice to review and sign. Your date is secured once I have a signed contract and the first payment. Unfortunately there is only one of me, so I cannot do holds and dates tend to go quickly.

SECURING YOUR DATE.

Once you are locked and loaded, then the fun begins!

You will receive a welcome email from my team with instructions on how to access your planning account! From checklists and timelines to guest lists and layouts, get access to my software program with incredible planning, design and wedding management tools to streamline your planning process, collaborate with your planning team, and manage every detail along the way. 

Right out of the gate, I like to point you in the right direction. We will do a one hour meeting where you can pick my brain on all things vendors, timeline, and wedding details. This is a great meeting to invite your family and planning helpers to, so we can all get on the same page!

NOW WE'RE OFFICIAL.

SIX WEEKS OUT.

It's show time, baby!! Around 6 weeks out from your wedding we sit down to go over the nitty gritty. 

You will get a questionnaire from me prior to this meeting to gather all of your final timeline changes, details, and set up notes. 

I'll guide you through the whole process so there is no need to prep anything for this. 

FINALLY! We made it to wedding week! It can be such a stressful, yet exciting time - so I want to take some of it off your plate.

One week prior to the wedding, I will send out the timeline we created to all of your vendors, family, and wedding party.

(This typically takes care of the 5 million questions about where they need to be and when!)

 

Rehearsals can be added on for an additional fee based on availability, however I do include a personalized checklist so you make sure to hit all the big stuff if you want to run through it at the grooms dinner. 

WEDDING WEEK.

THE BIG DAY.

  • Coordinator will be onsite for event start to end, unless otherwise specified.

  • Point of contact for vendors on event date, ensures vendors follow venue rules, and provides direction to vendors.

  • Manage set-up and ensure all spaces are executed as designed.

  • Place and set-up guest book, place cards, programs, display tables, candles, etc.

  • Ensure ceremony space, officiant, readers, ushers, and wedding party are ready.

  • Runs and cues the ceremony timeline and processional.

  • Runs and cues the reception timeline including grand march, dinner, speeches, dances, etc.

  • Execute all client timelines.

  • Prepares all wedding gifts and decor to be loaded into vehicles.

  • Take down client decorations.

  • Ensure all guests leave the property on time.

  • Ensure special guest needs are met.

  • Troubleshoots all day of issues and adjusts as necessary to ensure a seamless day.
